Overview

What is Cutover?  

Cutover is the process of migrating patient data from legacy systems into APeX to ensure continuity of care. Unit and House Census data from Cerner will be manually entered into APeX for Saint Francis and St. Mary’s hospital locations. 

What is Cutover Dry Run?

A Cutover Dry Run is a practice exercise to gain proficiency and test the time needed to complete Cutover. During a Cutover Dry Run, test patients are utilized in the APeX Test environment. No Downtime occurs during these Cutover Dry Run practice sessions, and live patient data information remains confidential.

Step1

Operational Cutover Dry Run #1

  • Patient Access Team Cutover Dry Run #1
    • When: Monday August 4, 2025, from 8 a.m. - 12 p.m.
      • The full 4-hours is not mandatory! Once you have completed your work, you are free to leave.
    • Where: Morrissey Training Room at St. Mary's
    • What: During this session, patient access staff will practice creating test patients in the APeX test environment and practice admission workflows mimicking based upon patient admission details found in Cerner.
      • IMPORTANT: There is no Cerner Downtime associated with the Cutover Dry Run. 

 

  • Clinical Care Team Cutover Dry Run #1
    • When: Tuesday, August 5, 2025, from 8 a.m. - 12 p.m.
      • The full 4-hours is not mandatory! Once you have completed your work, you are free to leave.
    • Where: Morrissey Training Room at St. Mary's
    • What: During this session, clinicians will practice transcribing real patient data from Cerner on test patient charts into APeX test environment.
      • Privacy is priority! No live patient demographic information will be utilized.
      • IMPORTANT: There is no Cerner Downtime associated with the Cutover Dry Run.

  • Patient Access and Clinical Care Team Cutover Dry Run #2.
    • When: Tuesday August 26, 2025, from 7:30 a.m. - 12 p.m.
      • Patient Access Cutover efforts take place between 7:30 - 9 a.m.
      • Clinical Care Team Cutover efforts take place between 9 a.m. - 12 p.m.
    • Where: Morrissey Training Room at St. Mary's
    • What:
      • Patient Access Dry Run: During this session, patient access staff will practice creating test patients in the APeX test environment and practice admission workflows mimicking based upon patient admission details found in Cerner.
      • Clinical Care Team Dry Run: During this session, clinicians will practice transcribing real patient data from Cerner on test patient charts into APeX test environment.

      • Patient Access Cutover efforts take place between 7:30 - 9 a.m.
      • Clinical Care Team Cutover efforts take place between 9 a.m. - 12 p.m.
    • Where: Saint Francis Hospital - Room Details are TBD
    • What:
      • Patient Access Dry Run: During this session, patient access staff will practice creating test patients in the APeX test environment and practice admission workflows mimicking based upon patient admission details found in Cerner.
      • Clinical Care Team Dry Run: During this session, clinicians will practice transcribing real patient data from Cerner on test patient charts into APeX test environment.
        • Privacy is priority! No live patient demographic information will be utilized.
