Learn how to request new hardware during the transition and what to expect regarding UCSF hardware replacement and testing.
Ordering new hardware
All requisitions and procurements for computers and computer accessories (docking stations, webcams, computer mice, etc.) are now going through UCSF.
Should your current CommonSpirit-provided device break or need fixing, or you are a manager who needs to request equipment for a new employee, please submit a requisition by device type (computers and computer accessories) through the SFCH ServiceNow catalog.
Equipment installation continues, testing begins Aug. 4
Ongoing equipment installation
In preparation for the Oct. 4 transition to APeX at Saint Francis and St. Mary’s, technicians are continuing to deliver and set up new UCSF computers and replace monitors, keyboards, mice, printers, and other equipment.
- Be prepared for technicians to spend 20 to 45 minutes at each workstation, replacing monitors, keyboards, and mice and installing new UCSF microcomputers on the back of monitors. Do not use, move, or disconnect the new UCSF computer. Continue using your CommonSpirit computer until it is removed on or around Oct. 4.
- IT will install other equipment that will not be used until Oct. 4, including Tap ‘n Go and new printers. Please continue using CommonSpirit Tap ‘n Go and your current printers until Oct. 4.
To free up network ports for critical UCSF devices, technicians may be removing some desk phones in certain areas. Also, CommonSpirit Health desktop computers across Saint Francis and St. Mary’s locations may be migrated to the UCSF Wi-Fi network instead of remaining on the wired network.
Equipment testing
Testing of computer equipment, printers, and networks will begin Monday, Aug. 4 and continue through Friday, Sept. 12. Equipment testing is a standard best practice activity prior to integrating new infrastructure and staff with existing equipment, systems, and networks. Testing allows technicians to verify that equipment operates as expected and is connected to other devices and systems. All of this is done to reduce the risk of devices not working properly at go-live.
Additional equipment testing details
- On testing days, testers will meet with each unit/clinic manager to discuss the day’s testing plan. Your manager will share relevant information with you.
- Testers will not interrupt you while you are working but will ask the best time to test the device. Testing of a nearby workstation in your area does not mean imminent testing of your workstation.
- When you are ready for the tester to begin, save all important work and log off.
- Each patient room check is expected to take 15 to 20 minutes. While there should be no disruption to patients, staff may need to verbally let patients know why there are technical personnel in the area. See what you can share with patients here.
- Red or green stickers will be affixed to workstation monitors after testing.
- Green will indicate that all items have passed and that the workstation is go-live ready.
- Red will indicate that one or more items did not pass, and that follow up is needed.
Please do not remove these stickers or move any device after a sticker of any color has been affixed.
Reminders
- Keep computers powered on: Please do not turn off your CommonSpirit Health computers at the end of your workday. As CommonSpirit computers and new UCSF computers share a monitor, shutting down the CommonSpirit device interferes with the login and testing processes.
- Be aware: You may be asked to move to another workstation or desk while computers and other equipment are tested.
- Prepare: Consider removing personal items from your workspace so technicians can efficiently set up equipment and access outlets and ports without disturbing your desk.
- Remember: Please do not move or disconnect any of the new devices.
