This page will provide a list of frequently asked questions related to joining UCSF Health.

Frequently Asked Questions (FAQs)

Your current devices (e.g., laptops, shared workstations, office phones) will stay the same as part of day one, August 1st, services. Some workstations may need to change in the future to support UCSF Health applications. In those cases, there will be future communications advising of the changes. 

Yes, all Saint Francis Memorial Hospital, St. Mary’s Medical Center, and Dignity Health Medical Foundation outpatient clinic employees will receive new Microsoft Outlook Web email addresses and accounts.  

Emails with your new UCSF email address and instructions for creating your password have been sent from [email protected] to your current CommonSpirit email address with the subject line “Activate your UCSF account now”. Additional emails will be sent to all those who have not yet activated their USCF accounts. If you have not yet activated your account, please: 

  • Watch for the next email; it may go into an inbox other than your primary one, so you may need to look for it. 
  • Click the “Activate Your UCSF Account” link in the email within 72 hours to create your UCSF password. Remember your UCSF account information.
  • Follow the instructions in the email to set up Duo Multi-Factor Authentication (MFA) – required for access to UCSF email and other applications.  

Access your new UCSF Microsoft Outlook Web account and other applications and view information on how to use them via the UCSF Health Saint Francis and Saint Mary’s Hospitals and Clinics intranet portal at https://sfch.ucsfhealth.org/ (NOTE: Outlook for Desktop will be provided at a future date.).

NOTE:

  • Former Dignity Health Medical Foundation outpatient clinic employees: Until October 1, you should continue to use your CommonSpirit Gmail account for day-to-day business correspondence and patient-care-related correspondence, and you should only use your UCSF email for UCSF Health-related correspondence such as questions about your benefits, paychecks, etc. 

Your CommonSpirit Gmail account will be deactivated on the following schedule:

  • Saint Francis Hospital and/or St. Mary’s Hospital employees: Your CommonSpirit Gmail account will be deactivated as of September 1, 2024.
  • Dignity Health Medical Foundation outpatient clinic employees: Your CommonSpirit Gmail account will be deactivated as of October 1, 2024.

You should forward any necessary emails from your CommonSpirit Gmail account to your new UCSF Microsoft Outlook Web email account. Emails not forwarded by the deactivation date will no longer be accessible. You will also lose access to Google Chat, Calendar, and Contacts. Information on how to export Contacts from Gmail and import them into Outlook Web Email can be found here. You will retain access to Google Sheets, Docs, and Drive.   

Google Drive access will remain after August 1, 2024. Google Drive access will remain in place until UCSF Health transitions to its systems at some point within the first two years of new ownership. Instructions for how to move your files from Google Drive to Microsoft OneDrive and Box are posted on the intranet portal at https://sfch.ucsfhealth.org/it-resources/ucsf-storage-platforms.

You will continue to access and use many of your current applications (e.g., Google Drive) in the same manner that you do today, with the same account login and Okta verification process. Over time, some existing applications will either have a new UCSF Health counterpart or be replaced by a UCSF Health-equivalent application. 

It is recommended to use Microsoft Edge for UCSF web applications and Google Chrome for those hosted by CommonSpirit.

Yes, your login for CommonSpirit systems will still work using your CommonSpirit email address as the User ID on September 1 and after. 

Computers will be reimaged as part of the transition to UCSF Health applications and services. Details will be provided as the conversion schedule is finalized.

The UCSF Health IT team will partner with Healthcare operations and leadership for the full system integration plan. Additional IT projects and information will be shared later.
