In preparation for transitioning all existing hospital phones from CommonSpirit management to UCSF management, UCSF IT will be migrating 12 phones at St. Mary’s (after hours) on Thursday, August 7, 2025. These phones are located in 450 Stanyan, Level C, and belong to the Building Engineering/Facilities Department.
Appointment and Case Conversion Weekend is Sept. 20 and 21Appointment/Case Conversion is the process of moving all scheduled future orders (where required), referrals and authorizations, and appointments from current heritage scheduling applications into APeX (Epic EHR). Orders required for scheduling will be entered into and linked at time of appointment creation.This activity also provides an opportunity for registration and scheduling staff to further hone their APeX skills in preparation for Go-Live.
Patient Flow Day is a collaboration between Saint Francis and St. Mary’s Operations and the APeX Project Team to share a preview of integrated patient flow workflows with operational owners and staff. Patient Flow Day presents an opportunity to see true-to-life patient movement activities in preparation for October 4, 2025, APeX Go-Live.
What is Cutover? Cutover is the process of migrating patient data from legacy systems into APeX to ensure continuity of care. Unit and House Census data from Cerner will be manually entered into APeX for Saint Francis and St. Mary’s hospital locations. What is Cutover Dry Run?A Cutover Dry Run is a practice exercise to gain proficiency and test the time needed to complete Cutover. During a Cutover Dry Run, test patients are utilized in the APeX Test environment. No Downtime occurs during these Cutover Dry Run practice sessions, and live patient data information remains confidential.
Day in the Life (DIL) activities are supplemental opportunities offered post training to practice workflows in the APeX system. Active participation in DIL is encouraged to help ensure you are comfortable and confident performing your common workflows in APeX at Go-Live.
UCSF provides Box for online file storage to ensure data is stored within a UCSF-approved storage application. Let’s review the process to transfer your Google Drive files to Box.
